BlueBeam Permit Set Signing Procedure

***Requirement: BlueBeam 2018-2020 Extreme must be installed ***

  1. Create a BlueBeam Project

  2. Select the "Project Icon"

  3. Click the plus (+) icon and selecte "New Project"

Create New Project

  1. Enter the Project name: (Naming convention: Project Name and Plant/Non-Plant Number)

  2. Click OK

Name the Project


  1. Apply Permission Settings
    1. Select Project
    2. Click the Settings Icon
    3. Click Permissions Tab
    4. Click "Full Control" and Select the Down Arrow
    5. Select Allow
    6. Click Apply
    7. Click OK

  1. Click the Upload Files button (Permit Set & Specs) Documents must be flattened)

Upload Permit Set & Specs to the Project

  1. Click the Add button; Select Files

  2. Select the Files to be uploaded and click OK

  1. Click the Lock Icon - Click "Check Out"

Check Out File

  1. Click Tools > Form > Digital Signature

Add Signature Fields

  1. Click and drag to create the signature box. (Repeat step for all signers). Total of 3 signature fields to be added.

Create Signature Fields

  1. Click Tools > Form > Text Box

Add Date Fields (BlueBeam 2018 Extreme Required)

  1. Click and drag to create the Text box. (Repeat step for all 3 date fields).

  1. Click the Page icon

  2. Click "Check In"

Check In File

  1. Select the Permit Set Project

  2. Click the invite/mail icon

Invite Signers to the Project

  1. Click the plus icon

  2. Enter the participants email address; click Ok. Repeat step for all required participants

  3. Required users to be invited:

    • jeaplin@ehs.ucla.edu
    • cnewth@capnet.ucla.edu
    • dejene@capnet.ucla.edu
    • jcorrea@capnet.ucla.edu
    • cludlow@capnet.ucla.edu
    • jvicuna@capnet.ucla.edu
    • ssullivan@capnet.ucla.edu

  4. Once all signers have been added, click the OK button.

Add the Email Addresses of all Signers

  1. Visit Workflows Website:


  2. Create Permit Set Stamping Workflow

    1. Search for "Permit Set"
    2. Highlight the row
    3. Click "Create (Based on Template)"

  1. Edit Fields 40 & 50

    1. Select Row
    2. Click the Edit Button
    3. Add user from the "Select User" column
    4. Click "Save"

Edit Workflow

  1. Enter BlueBeam Project Info

  2. Click Start Process

BlueBeam Digitally Signing a Document

  1. Click the Lock Icon - Click "Check Out"

Check Out File

  1. Click in the desired signature field.

Sign Document

  1. Choose a Digital ID.

  2. Under "Permitted changes after certifying" Verify that "Markups, fill in forms, and digital signatures"" is selected.

  3. Select an Appearance for your signature. Click OK.

  1. A Save As dialog box appears. Click Yes.

Overwrite File

  1. Click the Page icon

  2. Click "Check In""
